Customer Service Manager

Job Purpose:
We need someone looking for long-term employment to manage a busy front desk. This position is the face of the company for visitors and customers who arrive at our business and we need someone that has a friendly personality, excellent people skills, and has a contagious smile both on phone and in person. The primary purpose of this job is to support the Service Advisor by performing a wide variety of routine clerical duties; to promptly and politely greet and direct all visitors, and to provide information and assistance to the public regarding All Car Collision’s basic information (i.e. physical location and contact information.)
Duties and Responsibilities:
To successfully perform this job, an individual must have excellent communication skills, be highly organized, have the ability to multitask, and must be able to perform each duty listed below satisfactorily:
- Create customer files as new assignments are received and schedule estimate appointments
- Greet customers when they arrive, locate their file, assign an estimator, and offer refreshments
- Follow up with missed estimate and repair appointments
- Assign vehicle numbers, notate folders, and inform estimators of vehicle arrivals
- Print sign-in/sign-out templates each week, validate staff sign-in and sign-out times
- Responsible for part/core returns and ensuring that credit is received
- Complete tow intake forms and dispatch tow trucks when necessary
- Answer phones, take messages and transfer phone calls
- Maintain printer to ensure sufficient paper supply and print cartridges are installed and in inventory
- Maintain cleanliness of office, customer areas, kitchen, refrigerator, microwave, and bathrooms
- Assist with visitor shuttle service and clerical errands, as necessary
- Update and maintain business social media accounts
- Sort and distribute incoming mail.

Qualifications:
Below are the qualifications that are necessary for someone to be considered for the position:
- Basic Requirements:
- Must be at least 18 years of age
- Must be able to provide three (3) references
- Excellent computer and Microsoft Office skills
- Excellent communication skills (both verbal and written)
- Satisfactory completion of a criminal background check
- Licensing, Regulations, and Certification Requirements:
- Must have a valid driver’s license
- Legally able to work in the United States
- Education/Experience Requirements:
- Some College Required
- Time Management Skills:
- Able to work Monday through Friday (8:00 am to 6:00 pm) – 45 hours/week
- Must be at work on time each morning – very essential to the business

Body Shop Estimator/Writer

Job Purpose:
The Body Shop Estimator helps ensure the overall efficiency, profitability, and reputation of our auto body shop operations by providing timely, accurate, and customer-approved estimates for all assignment repair orders that we receive. He or she documents estimates and the necessary repair work according to established industry standards and insurance company regulations.
We need someone who is looking for long-term employment as our primary estimator and who is honest and dependable. As an estimator, your primary duty is to write repair estimates per industry standards, while following insurance/fleet management guidelines, as well as, manufacturer recommendations.
As a customer-facing position, the estimator should have a friendly personality, excellent people skills, and a contagious smile both on phone and in person.
Duties and Responsibilities:
To successfully perform this job, an individual must have excellent communication skills, be highly organized, have the ability to multitask, pay special attention to detail, and must be able to perform each duty listed below satisfactorily:
- Provide Excellent Customer Service:
- Provide excellent customer experience/service for all visitors
- Carefully explain the damage and repair estimates to customers. Ensure their understanding of cost and repair time
- As appropriate, help customers process their insurance claims
- Cover for other staff members when they are out of office
- Complete Tow Intake Forms & Dispatch Tow Trucks when Necessary
- Support the Body Shop Estimating Process:
- Greet customers who arrive for an Estimate or for their Estimate Appointments
- Inspect damaged vehicles thoroughly using standard, written procedures
- Negotiate repairs and needed replacements with fleets, insurance, and walk-in visitors
- Prepare accurate, complete, and honest damage estimates using CCC One
- Estimate the cost or repairs and anticipated time to complete repairs using current computer programs
- Support the Repair Process:
- Obtain Repair Orders
- Manage tear down requests
- Schedule and Supervise needed sublet orders
- Order necessary replacement parts per approved Repair Orders
- Manage vendor relations
- Manage Supplies and Materials
- Ability to oversee overall shop production and productivity
- Monitor repairs as they are made. Track all costs: labor and materials
- Fully coordinate and communicate directives to body shop staff
- Responsible for Part/Core Returns and ensuring that credit is received
- Inspect completed repairs; compare final work and final costs to original estimates and supplements
- Support Final Delivery Process and Our Reputation:
- Ensure quality assurance by completing a final inspection checklist for completed repairs
- Evaluate all supplemental repairs and costs, ensure accuracy of repairs, and check that additional needed costs are accurate
- Manage production of repairs and ensure promised dates are met
- Help management oversee repair and painting operations and safety programs
- Provide exceptional service to customers from receipt of vehicles to their return to customers. Track customer satisfaction with completed repairs
- Protect Our Reputation:
- Conduct regular safety checks

- Address, document, and correct all visitor complaints/feedback

Qualifications:
Below are the qualifications that are necessary for someone to be considered for the position:
- Basic Requirements:
- Must be at least 18 years of age
- Must be able to provide three (3) references
- Excellent computer and Microsoft Office skills
- Excellent communication skills (both verbal and written)
- Satisfactory completion of a criminal background check
- Licensing, Regulations, and Certification Requirements:

- I-Car certified as an estimator (desired, but not required)
- Education/Experience Requirements:
- Demonstrate exceptional damage estimating skills
- At least a high school diploma or GED equivalent
- Knowledge of direct repair programs (DRP) programs
- Demonstrate experience with writing estimates using CCC One
- One (1) or more years as an estimator in the collision repair industry
- Able to effectively communicate with a technician to create an accurate estimate for repair
- Time Management Skills:
- Able to work Monday through Friday (8:00 am to 6:00 pm) – 45 hours/week

Body Technician
Job Responsibilities:
- Confer with customers to determine what their vehicle body repairing needs are.
- Assess automobiles to see what type of damage is imminent and to create a workable plan for fixing it.
- Create cost estimates and timelines for repair jobs and have them approved by the customer.
- Clean and clear surfaces to remove dirt and debris from them in a bid to prepare them for repair work.
- Perform denting and straightening work in a careful manner, without adding more damage to the body.
- Remove damaged body parts such as fenders, bumpers, and grilles and set them aside for assessment and repair work.
- Ascertain that non-repairable body parts are properly covered/masked so that they are not affected during the repair process.
- Hammer out patches and dimples by using small hammer tools and related equipment.
- Grind, sand, and buff repaired surfaces to give them a proper finished look.
- Apply wax on repaired auto body parts and ensure that assigned vehicles are properly detailed before they are handed over to the customer.
- Assist auto body painters and engine repair technicians with their work by removing body parts and refitting them as the project closes.
Mechanic
Job Brief:
We are looking for a skilled Mechanic to assemble, maintain and repair machinery and vehicles. You will be responsible for ensuring functionality and reliability of machines, engines, and mechanical systems.
An excellent mechanic must have manual dexterity and great attention to detail. They must be able to work with various machines and tools as well as follow all safety precautions.
Responsibilities:
- Build and assemble machines or mechanical components according to requirements.
- Inspect machines, engines, transmissions etc. and run diagnostic tests to discover functionality issues.
- Conduct repairs aiming for maximum reliability.
- Troubleshoot reported problems and resolve them in a timely manner.
- Perform thorough maintenance on machinery, equipment and systems.
- Clean and apply lubricants to machinery components.
- Replenish fluids and components of engines and machinery.
- Provide consultation on correct maintenance and preventative measures to machine or vehicle users.
- Undertake other duties as assigned (e.g. repair of hydraulic systems, painting vehicles etc.)
- Keep logs of work and report on issues.
- Inspecting machines, engines, transmissions etc. and run diagnostic tests to discover functionality issues.
- Conducting repairs aiming for maximum reliability.
Requirements:
- Proven experience as Mechanic.
- Excellent knowledge of machinery and hydraulic, electrical and other systems and their components.
- Aptitude in using various hand tools (screwdrivers, hammers etc.) and precision measurement tools (e.g. calipers.)
- Ability to follow established procedures and practices and read instruction, blueprints etc.
- A strong commitment to all health and safety guidelines
- Very good communication skills.
- Good problem-solving abilities.
- Very good physical strength and stamina.
- High school diploma is preferred; Certification from a vocational school or completion of apprenticeship is a definite plus.
- Valid certification (e.g ASE) is preferred.
Production Manager
Position Overview:
The Collision Production Manager is responsible for writing body shop damage estimates, negotiating with insurance adjusters, completing billing and other shop related activities in the absence of the Body Shop Manager.
Responsibilities:
- Break down estimates into labor and parts before job is started so technicians are aware of time allowances.
- Follow up with Parts Department to ensure availability of ordered parts.
- Conduct repairs aiming for maximum reliability.
- Revise and approve time allowances of each job.
- Assist with quality check of completed jobs.
- Prepare final billing for completed repair orders.
- Assist Body Shop Manager with the daily activities of the center including: communications with technicians, painters, insurance company representatives, parts wholesalers, other departments within the dealership and customers.
- Estimate writing, repair selling, job scheduling, completion date notification, repair order billing, filing, answering phones, supplement authorization and follow-up, weekly payroll and quality control maintenance.
- Maintain organization of body shop tools and proper equipment function.
- Ensure adequate materials and paint supplies are available for production.
- Follow federal, state and local regulations governing the disposal of hazardous wastes.
Requirements:
- High School diploma or equivalent.
- ASE certification preferred.
- I-Car certification preferred.
- Three years of experience in a dealership position preferred.
- Ability to read and comprehend instructions and information.
- General knowledge of vehicle mechanical operations.
- Sales experience preferred.
- Excellent oral and written communication skills.
- Experience providing quality customer service.
- Valid in-state driver’s license and have and maintain an acceptable, safe driving record.
